QUALIFICATIONS AND JOB DESCRIPTION

Purpose

The Senior Business Analyst is an internal expert that supports and contributes to the overall objectives and priorities of Oximio. This will be achieved through ensuring that the teams in the countries handle, store, pack, label, return and deliver all medical products and devices with the utmost care and within the agreed service level to the client.  

By providing the expertise, Oximio meet client satisfaction by delivering high quality operational standards at each location.

The Senior Business Analyst establishes industry leading standards of customer care and satisfaction and supports the capability of the team to effectively engage, inspire, motivate the global teams, optimizing performance and shaping the Oximio culture through effectively advocating Oximio values through the logistics activity. The expert proactively works in maintaining Oximio high performing standards by continuously monitoring industry innovations, captures Oximio-specific new ideas and facilitate the onboarding within the company.

Responsibilities

Warehouse Logistics Operational Excellence:

  • Support the implementation and optimization efforts of new ERP system, owns the global Operational standardization by determining the global ones and agree what remains local, country specifics. Ensures that client general requests become standard in each location while local ones increase the customized client needs enable Oximio to differentiate from others.
  • Holds the role of process owner for implementation of global standards in the ERP system, how the system shall function , along what new processes need to be established, review, adjust existing ones.
  • Act as an owner of all Global Operational Standards and Processes, respective Global SOPs, SFs and WIs.
  • Periodically collects and analyse data and processes.
  • Develop standard reporting tools to support Oximio management in business decisions. Reporting should allow to track and monitor Depot efficiency, cost levels and should allow to proactively set corrective actions.
  • Accountable for the operational standards during implementation of other ERP modules, provide operational sign off.
  • Supporting Company Annual Objectives and other agreed targets are met in all Oximio depots.
  • Regularly evaluate the efficiency of operational procedures according to organizational objectives and apply improvements upon necessity. Assist in determining investment needs in the Warehouses upon necessity to achieve company objectives:using best practice sharing / other working mechanism, adopt lean concept or any digitally enabled solutions.
  • Introduce any new services, continuous improvements and development of processes and workflows in warehouses based on the Company Strategy. Questioning existing processes and proposing points of improvement. Reducing any “waste” activities. Initiate changes in digital systems if needed.
  • Create standard, efficient approach of CAPA implementation, takes decision if operational CAPA should go global or stay local
  • Implementing new processes and procedures globally, periodically runs cost-effectiveness analysis.
  • Periodical review of depot procedures with risk evaluation, develop the operational control review procedure.
  • Closely monitor and manage Operations\Logistics costs and making savings where possible.
  • Review and approve operational equipment and needs.
  • Ensure execution of all operational procedures in accordance with the actual QMS and GxP requirements.
  • Establish governance and collaboration with Heads of Warehouses, Country Managers, Transportation Coordinators,
  • Depot Engineers, Responsible Pharmacist to ensure Oximio delivers on client commitments, cost and budget and achieve client satisfaction. 

Commercial, Business development:

  • Constantly seeking for new industry standards, screening competitors (worldwide) propose new ideas, new technologies to adopt.
  • Active collaboration to support Client needs, onboarding new studies, and projects provided by the Commercial funnel.
  • Proactively support Client service development needs
  • Active collaboration with BDO in identification of new locations, new service development in any Oximio current and new locations. Provide consultancy during new investments, set Oximio standards to calculate investment costs.
  • Participation in investigations and elimination of causes of customer complaints and events related to improper compliance with internal procedures /SOPs/WIs
  • Consult and proactively suggest organization changes to ensure best in class warehouse operation (introducing new roles, personal developments in warehouse roles) and modification of Oximio’s digital systems

Qualification and Experience

Qualification

Bachelor degree (preferably in life sciences and/or logistics)

Experience

Knowledge and experience in global, multi-site, multi-cultural organisation
Knowledge and experience in Clinical Trial Warehouse operations, Project Management
Involvement in projects related to ERP implementation[GG1][AO2].
Experience in working with cross-functional teams.
Development of multicountry Warehouse operations
